Privacy Policy

Sprinklerly ("Sprinklerly," "we," "us") provides operations software for irrigation and sprinkler contractors: scheduling, dispatch, route planning, work order management, and backflow-test compliance tracking. This policy explains what we collect, why, and how you can control it.
What we collect
- Account information you provide directly: your name, email address, and business name.
- Customer and property data you enter or import: your own customers' names, contact details, property addresses, and irrigation-system details (controllers, zones, components). This is your business data, entered by you or your staff, or imported from a file you upload.
- Sensitive property notes, such as gate codes or access instructions, which are encrypted at rest and never returned in plain form by any part of the application beyond what your own staff can see while working a job.
- Compliance records: technician certifications, backflow-test results, and contractor insurance/license documents you upload or record, used to power renewal reminders and compliance reporting.
- Usage and audit data: a record of bookings, work order status changes, and staff actions, so you have a history of what happened and when.
- Location data: property and service-area addresses are sent to Mapbox to convert them into map coordinates, and to calculate drive times between stops on a route.
- Generated documents: backflow-test reports and certificate-of-insurance packets are generated as PDF files and stored privately in Cloudflare R2 object storage, accessible only through a time-limited link sent to the intended recipient.
- Subscription billing information, once paid Sprinklerly plans are available: handled entirely by our payment processor. We will never see or store your card number ourselves.
- Website analytics, if and when we enable them on this marketing site: aggregated visit data via a standard third-party analytics provider. We'll update this section with the specific provider before any such tool goes live.
What we don't do
- We never sell your data, or your customers' data.
- We don't share your customer or property data with third parties except the infrastructure providers that operate Sprinklerly itself, under standard confidentiality obligations.
- We don't use your business data to train unrelated products or for advertising.
How we use your data
Data is used to operate the features you're using: scheduling and dispatch, work order tracking, backflow-test and certification tracking, price-book estimating, and the notifications that keep your staff informed of handoffs. Compliance data (certifications, test results, insurance documents) is used only to power the reminders and packet-delivery features you use, and to keep an accurate record for your own reference.
Payment processing
We're building support for card-on-file payments between you and your own customers, processed through Stripe, a PCI-compliant payment processor; it isn't available in the app yet, and we'll update this section with the specifics before it is. Once it is, a customer's card details will be entered directly with Stripe and never pass through or get stored on Sprinklerly's own servers, and funds will be paid out to your business's own connected Stripe account, not held by Sprinklerly.
Separately, when paid Sprinklerly subscription plans go live, those subscriptions will also be billed through a PCI-compliant payment processor, the same way.
Data retention and deletion
You can request export or deletion of your account and its data at any time by contacting us at hello@sprinklerly.com. Some compliance-related records (for example, backflow-test history) may need to be retained for a period consistent with applicable regulatory requirements even after an account is otherwise closed; we'll tell you specifically what applies if you ask.
Your rights
Regardless of where you're located, you can ask us at any time to: tell you what data we hold about you, correct anything inaccurate, export a copy of it, or delete it. Email hello@sprinklerly.com and we'll act on it. We do not sell personal information, so there's nothing to opt out of on that front.
Security
Passwords are hashed with a modern, salted algorithm and never stored in plain text. Sensitive property access notes are encrypted at rest. Every connection to Sprinklerly happens over HTTPS. Staff access is scoped to your own business's account, and staff members can enable two-factor authentication on their own login.
Hosting & sub-processors
Sprinklerly's application and database are hosted on Render, in the United States. Transactional email (invitations, password resets, notifications, generated reports) is sent through Resend. Address geocoding, map display, and route travel times are provided by Mapbox. Text-message notifications, where enabled, are sent through Twilio. Generated PDF documents (backflow reports, certificate-of-insurance packets) are stored privately in Cloudflare R2. Stripe is on file as our future payment processor, ahead of card-on-file payments and Sprinklerly's own subscription billing going live. As additional integrations go live, we'll update this section to name each new provider before it starts processing your data.
Changes to this policy
We'll update the date at the top of this page when this policy changes, and for material changes we'll notify account holders by email.
