How to let customers book sprinkler service online
Updated 2026-10-19
Short answer: customers can book without calling when they can see only times you can actually serve. Publish a short list of days, each with fixed arrival windows and a limit per window, ask for the address first, offer only the days that cover it, and confirm the booking in writing the moment it is made. Everything below can be done with a calendar, a form and an hour of setup.
Step 1: decide what customers may book
- Pick the service types you will take online, for example spring start-up, a zone not working or a winterization blowout. Leave emergencies and anything needing a quote to the phone.
- Use fixed arrival windows (for example 8 to 12 and 12 to 4), not exact times. Exact times promise what a leaking valve will break.
- Put a number on every window using the method in how to stop overbooking arrival windows.
Step 2: tie each day to an area
A booking page that offers every day to every address makes you refuse jobs afterwards. Decide which neighborhoods each day covers first; how to group service calls by neighborhood has the method. Write the rule down as a centre point and a radius, such as "Tuesdays, 10 miles around the shop's second yard".
Step 3: build the form by hand
- Ask for the street address, city, state and postal code before anything else.
- Check that address against the day's area yourself, and show the customer only the days that fit. With a plain form this check is you or whoever answers the inbox.
- Collect a name, an email and an optional phone number. Add a notes field for gate codes, dogs and which zone is failing.
- If you will text, add a separate unchecked box for text consent next to the phone number. Do not treat giving a number as consent.
- Reduce the window's remaining count by one when the booking is accepted. A form and a spreadsheet will not stop two people taking the last slot, so keep the count somewhere only one person updates.
Step 4: confirm and remind
Send a confirmation immediately with the date, the window, what to leave unlocked and a way to cancel. Send a short reminder the day before. Customers who get nothing in writing phone to check, and that is the call you were trying to remove.
Where the manual version breaks
The address check and the last-slot count are the two steps that fail first. Both need an answer at the moment the customer clicks, not when you next open the spreadsheet. That is the point to move off the manual version.
The faster way: the booking page in Sprinklerly
In Sprinklerly an owner or office admin chooses a short name for the business and gets a public booking page at a link of the form app.sprinklerly.com/book/your-name, with no login for the customer. The customer enters an address and sees only the service area days whose circle contains it, with their open windows. They pick a window and give a name, an email and an optional phone number, and the booking is confirmed on the spot. A window cannot be booked past its capacity, even when two people try at once. The page is protected by a bot check, an existing customer is matched by email so the same person is not added twice, and the phone's text box is unchecked until the customer ticks it.
You still define the service areas, windows and capacities, and the page only offers days you have created. It is not a payment page and does not take a deposit.

Common questions
Do customers need an account to book?
No. In Sprinklerly the booking page is public: the customer enters an address, picks one of the open windows and gives a name and email. A phone number is optional.
What happens if the address is outside my service area?
Nothing is offered. Sprinklerly only shows days whose service circle contains the address, and says no times are available if there are none.
Can two customers book the last slot?
No. A window cannot be booked past its capacity, even when two people try at once.
Does it text customers?
Only if the customer ticks the unchecked-by-default SMS box when giving a phone number.
